Terms and Conditions

These Terms and Conditions ("Terms") govern your access to and use of SentraTasks, an AI-powered task management application ("Service") operated by SentraTasks ("we," "our," or "us"). Please read these Terms carefully before using the Service.

1. Acceptance of Terms

By creating an account or using SentraTasks, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you may not access or use the Service.

If you are using SentraTasks on behalf of an organization, you represent and warrant that you have the authority to bind that organization to these Terms.

2. Description of Service

SentraTasks is an AI-powered task management platform that enables you to manage projects, tasks, and workflows through conversational interaction with an AI assistant. Key features of the Service include:

• Conversational task and project management via an AI assistant.
• Dedicated AI-powered conversation threads for individual tasks.
• Automatic generation of narrative documents that summarize your work.
• AI-suggested checklist items and daily brief overviews.
• Calendar integration with Google Calendar and Microsoft Outlook 365.
• Meeting workspaces with notes, follow-ups, and AI-generated summaries.
• Work session planning and scheduling.

3. Accounts & Registration

To use SentraTasks, you must create an account by providing a valid email address and a password of at least 8 characters. You are responsible for:

• Maintaining the confidentiality of your login credentials.
• All activities that occur under your account.
• Notifying us immediately if you suspect unauthorized access to your account.

You may not create multiple accounts for the same individual, share your account credentials with others, or use another person's account without their permission.

We reserve the right to suspend or terminate accounts that violate these Terms or that we reasonably believe are being used for fraudulent or abusive purposes.

4. Your Content & Data

Ownership

You retain ownership of all content you create within SentraTasks, including projects, tasks, descriptions, checklist items, meeting notes, and messages you send to the AI assistant. We do not claim ownership over your content.

AI-Generated Content

Content generated by the AI assistant on your behalf — including narrative documents, checklist suggestions, meeting summaries, daily briefs, and conversational responses — is provided for your use as part of the Service. You may use, modify, and distribute AI-generated content at your discretion. AI-generated items are clearly labeled within the application (e.g., checklist items marked with "AG:" and follow-ups marked by source).

License to Operate

By using the Service, you grant us a limited license to store, process, and transmit your content solely for the purpose of providing and improving the Service. This includes sending your content to third-party AI providers to generate responses (see Section 5).

Data Isolation

Your workspace is completely private. All data is scoped to your authenticated account, and no other user can access your projects, tasks, conversations, or other workspace content. SentraTasks currently operates as a single-user workspace platform without shared or collaborative features.

5. AI-Powered Features

SentraTasks uses third-party large language model (LLM) providers (currently Anthropic) to power its AI assistant. By using the AI features, you acknowledge and agree that:

• Content is processed by third parties. Your workspace content (task details, conversation messages, narratives, meeting data) may be sent to the LLM provider to generate responses. We select providers that do not use customer data for model training.
• AI responses are not guaranteed to be accurate. The AI assistant may produce incorrect, incomplete, or outdated information. AI-generated narratives, summaries, and suggestions should be reviewed by you before being relied upon for critical decisions.
• AI is not a substitute for professional advice. The AI assistant provides general productivity assistance. It does not provide legal, financial, medical, or other professional advice.
• Context scoping. The Home chat assistant has workspace-wide awareness through narrative summaries. Task thread assistants are scoped to their specific task's data. Meeting agents are scoped to their specific meeting. No agent has access beyond its designated scope.

6. Acceptable Use

You agree not to use SentraTasks to:

• Violate any applicable law or regulation.
• Store or transmit content that is illegal, harmful, threatening, abusive, defamatory, or otherwise objectionable.
• Attempt to gain unauthorized access to the Service, other users' accounts, or our infrastructure.
• Interfere with or disrupt the Service or its underlying infrastructure.
• Use the AI assistant to generate content that is harmful, deceptive, or designed to manipulate or mislead others.
• Reverse engineer, decompile, or attempt to extract the source code of the Service.
• Use automated tools (bots, scrapers, etc.) to access the Service without our written permission.
• Attempt to circumvent usage limits, rate limits, or other technical restrictions.

7. Calendar & Third-Party Integrations

SentraTasks offers optional integrations with third-party calendar services (Google Calendar and Microsoft Outlook 365). When using these integrations:

• You authorize SentraTasks to access your calendar data as described in our Privacy Policy.
• You are responsible for complying with the terms of service of the connected third-party provider.
• We are not responsible for changes, outages, or data loss originating from third-party services.
• You may disconnect integrations at any time through the application settings.

Third-party integrations are provided "as-is" and depend on the continued availability of those services' APIs.

8. Intellectual Property

The SentraTasks application, including its design, code, features, AI agent architecture, branding, and documentation, is the intellectual property of SentraTasks and is protected by applicable intellectual property laws.

Your use of the Service does not grant you any ownership rights in the software, platform, or technology behind it. You may not copy, modify, distribute, sell, or lease any part of our Service or its underlying technology without our prior written consent.

The SentraTasks name, logo, and brand gradient are trademarks of SentraTasks. You may not use these marks without our prior written permission.

9. Service Availability & Changes

We strive to maintain high availability of the Service, but we do not guarantee uninterrupted or error-free operation. The Service may be temporarily unavailable due to:

• Scheduled maintenance and updates.
• Unplanned outages or technical issues.
• Third-party service disruptions (including AI provider or cloud infrastructure outages).

We reserve the right to modify, update, or discontinue features of the Service at any time. We will make reasonable efforts to notify users of significant changes in advance. New features may be released as previews or beta versions and may not have the same level of reliability as established features.

10. Termination

By You

You may stop using SentraTasks at any time. You may request account deletion by contacting us, which will permanently delete all your workspace data, including projects, tasks, conversations, narratives, meetings, and authentication data. This action is irreversible.

By Us

We may suspend or terminate your account if:

• You violate these Terms or our Acceptable Use policy.
• Your use of the Service poses a security risk to us or other users.
• We are required to do so by law.
• We discontinue the Service (with reasonable advance notice).

Upon termination, your right to access the Service ceases immediately. We may provide a reasonable period for you to export your data before permanent deletion, except in cases of severe Terms violations.

11. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

We do not warrant that:

• The Service will meet your specific requirements.
• The Service will be uninterrupted, timely, secure, or error-free.
• AI-generated content will be accurate, complete, reliable, or suitable for any particular purpose.
• Any errors in the Service will be corrected.

You acknowledge that AI-generated narratives, summaries, checklist suggestions, and other outputs are produced by machine learning models and may contain errors, omissions, or inaccuracies. You are solely responsible for reviewing and verifying AI-generated content before acting on it.

12. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, SENTRATASKS AND ITS OPERATORS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, USE, OR GOODWILL, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICE.

IN NO EVENT SHALL OUR TOTAL LIABILITY TO YOU FOR ALL CLAIMS RELATING TO THE SERVICE EXCEED THE AMOUNT YOU PAID US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR ONE HUNDRED US DOLLARS ($100), WHICHEVER IS GREATER.

These limitations apply regardless of the theory of liability (contract, tort, strict liability, or otherwise) and even if we have been advised of the possibility of such damages.

13. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the United Arab Emirates, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be resolved in the courts of Dubai, UAE.

14. Changes to These Terms

We may revise these Terms from time to time. When we make changes, we will update the "Last updated" date at the top of this page. For material changes, we will provide notice via email or through the application at least 30 days before the changes take effect.

Your continued use of SentraTasks after the revised Terms take effect constitutes your acceptance of the new Terms. If you do not agree to the revised Terms, you must stop using the Service.
